Mediflash Introduces New Fully Automated Review Solution!

Hemet, CA – June 2023 – There are two technological innovations simultaneously reshaping the data retrieval industry as we see it today: automation and artificial intelligence (AI). Combined, they shape the conversation on the future of data collection. The human component of data collection still exists on various levels; however, that element often makes the retrieval process slow and time-consuming. Mediflash has created a data review process where there is no human element involved in First Name, Last Name, and Date of Birth verification, ensuring that the records received are the records requested.

MediFlash’s Automated Review is driven by the confirmation of key PHI/PII elements. At the epicenter of their extensive quality review/assurance process is their powerful Fully Automated Review Engine. They have created, engineered, and designed industry-leading algorithms, models, and relationships that confirm, at a base level, that the Naming and DOB elements on records received align with the records requested. In addition, they can transmit the results in both data and analog formats to their customers. Mediflash utilizes these findings to optimize their internal operations to ensure cutting-edge technology coupled with their strength in relationship-building is at the forefront of their solutions. This innovative automated solution guarantees that every page of records is reviewed to confirm that the records received are in fact the records requested, ensuring downstream compliance and adherence to internal as well as HIPAA policies. The primary focus of this process is to ensure that the applicant’s information is safe.

Troy Peterson, CEO of Mediflash, said, “There is a lot of automation and change happening in the field right now and Mediflash is staying ahead of it. Change is inevitable and we are designing and producing data collection products to mimic that change. We are simply trying to fix what we believe are inefficiencies in the process and we are confident we are doing that. Our new fully automated review solution is another product that we are very excited to share with our customers.”

Mediflash Introduces New Patient Power Solution!

Hemet, CA – March 2023- Two of the most dreaded words a carrier can hear when attempting to acquire medical records for a given applicant are these: Special Authorization. Obtaining the right one, holding fast while the applicant fills it out, and then hoping the facility accepts the completed version are all obstacles that have made special authorizations one of the largest pain points in the industry today.

To assist with this often overly complicated process, Mediflash has created Patient Power, an innovative, patient-driven portal that allows and encourages the applicant to become a pivotal part of the medical record retrieval process.

Mediflash has tied its E-Signature platform, PandaDoc, directly into the Patient Power portal to significantly minimize the effort required by the applicant to navigate the difficult special authorization processes. When a facility accepts E-Signatures, Mediflash initiates its PandaDoc solution, which pre-fills the authorization as thoroughly as possible and allows the patient to do little more than just sign and date. If the facility does not accept E-Signatures, Mediflash guides the patient to a downloadable authorization available right on the portal, including detailed instructions on how to complete and upload it back to Mediflash with just a couple of clicks.

Patient Power not only provides patients with the ability to see the progress on their case, but it also gives them the ability to communicate directly with their doctor’s office or hospital when circumstances dictate. The portal allows the applicant to contact the facility via e-mail from a personal perspective, forcing the facility to remember that it is their patient that needs medical records, not just a copy service or insurance carrier.

In addition to contacting the facility via email (or phone if the applicant prefers verbal communication), the patient can also upload documentation, such as signed authorizations, power of attorney, next of kin, or any other correspondence required to obtain records.

Troy Peterson, CEO of Mediflash, said, “Patient Power elevates the medical record retrieval process to an entirely different level, putting power back into the hands of the applicant, providing the patient with a streamlined and efficient experience.  Patients can now speed up the process and e-mail doctors directly for medical records.  The turnaround time alone will make the process easier and more tolerable.  We are beyond excited to launch Patient Power and look forward to hearing from our customers about the ease and speed of this patient-centric process.”

In the short time Patient Power has been active, Mediflash has seen a significant reduction in time service on cases where the patient has taken action versus similar cases where no patient involvement occurred.

Mediflash and PandaDoc Unite!

Hemet, CA – February 2023- In their continuous effort to reduce turnaround time for their clients, Mediflash has partnered with internationally renowned PandaDoc, a leader in the e-Document industry.

In joining forces with PandaDoc, Mediflash has streamlined document interaction, creating a seamless experience for both clients and patients alike.  Mediflash has focused their efforts in two primary areas, Special Authorization Processing and In-House Retrieval Services.

By incorporating e-signatures into their massive library of special authorizations for facilities nationwide, Mediflash has drastically reduced the amount of time spent completing and obtaining signatures for these crucial documents.  Interaction with a user-friendly document that requires minimal effort to complete, ensures that patients sign authorizations quickly, thereby speeding up the record retrieval process by several days.

Integrating with PandaDoc has positively impacted Mediflash’s In-House Retrieval Services as well.  Communications take place directly with the patient, eliminating the need for facility involvement and time-consuming interactions.  The required authorizations are pre-filled and delivered directly to the patient, automating the entire process.

The dynamic experience and creative tools developed and curated by PandaDoc have effectively streamlined document interaction for Mediflash and their customers. This partnership builds upon an already vibrant suite of solutions.

Troy Peterson, CEO of Mediflash, said, “This partnership provides the missing link to a lot of our wonderful product offerings.  Getting signature approval has always been a slow process in the data world and we now have the capabilities to speed that up and reduce a lot of time, stress, and anxiety.”

Mediflash Spotlights Their FastTrack Services in California

Hemet, CA – January 2023- Mediflash, a premiere, nationwide health information retrieval company for the medical, legal, and insurance industries, shines a spotlight today on their California FastTrack services, run by their experienced, reliable Dynamic Document Imaging division.

Health care in California is, to say the least, complicated, and it is no less so when it comes to medical record retrieval.

With just under forty million residents, the breadth and range of facilities in California are immense.  From the wide variety of family-owned doctor’s offices, corporate and local hospitals, and specialized clinics, to even Beverly Hills psychiatrists, Mediflash has their customers covered with invaluable local knowledge.  Mediflash has spent the last 35 years learning, understanding, and operating within those facilities to simplify and expedite the process of obtaining medical records.

California is known throughout the industry as one of the most difficult states to work with in terms of obtaining medical records.  With an extensive, physical presence in California, Mediflash has built a network that has broken through a large portion of the state’s red tape (and traffic) to ensure the retrieval process is swift and seamless.

Mediflash has over 50 field agents in California and this number continues to grow.  In the numerous instances where a facility has yet to adopt an EMR system, Mediflash has multiple field agents on-call that can be directly dispatched to facilities to scan hard-copy medical records, regardless of size.

Mediflash can immediately deploy their field agents for same-day service or to simply check on the status of a request proving difficult to obtain.  Their field agents enjoy great relationships with both doctors and staff at numerous facilities.  When phone calls, faxes, and e-mails aren’t sufficient, a field agent’s presence at the facility and a face-to-face conversation with well-known staff prove invaluable in preparing medical records immediately.

As an additional benefit, Mediflash’s field agents can upload records back to headquarters directly from the field, using secured hot spots. And, in the event the field agents run into uncooperative facilities, they can upload statuses directly, giving Mediflash staff and case workers the real-time information necessary to instantly communicate with doctors and facility staff.

Mediflash has cultivated interpersonal relationships with facilities, both small and large.  Their Kaiser Specialist is well-known to all primary Kaiser Centralized Record Locations, having worked closely with them for 35 years. Mediflash utilizes both individualized e-mail communication and automation to reduce the time between order and record delivery down to mere days.

This is also true of smaller facilities, where Mediflash agents have developed close, working relationships with facility staff, speaking with the same staff members multiple times over several years, asking after their family members and keeping up with their hobbies and interests.  This attention to detail results in happier facilities that are committed to working diligently with Mediflash to get records back to their customers as quickly as possible.

These relationships, which have been carefully cultivated over 35 years, allow Mediflash to consistently maintain an overall time service of 9.8 days in California, a notoriously complex state for medical record retrieval.

Troy Peterson, CEO of Mediflash, said, “We are extremely excited to fast-track operations here in our beautiful State of California.  With our field agents in place, we can confidently, and safely take on business from all over, ensuring our customers will get the individualized attention they deserve.  We are excited to continue progressing, hiring, and creating products not only for us here in California, but nationwide as well.”

If you have any other questions, or would like to get started with their services, in California or beyond, please contact their owner, Troy Peterson, at tpeterson@mediflash.com or by phone at 877-835-4540.
